Hold the RFI, submittal and correspondence handoffs your project managers keep losing

Most construction delays are not technical failures. They are handoffs that quietly break: a revision arrives and nobody owns the response, a submittal sits unreviewed, a question reaches the wrong trade and dies in an inbox. A Zati workshop gives you and your PMs a configured set of AI workers to hold the defined parts of that handoff — with the contract decision still in human hands.

Start from the moment work stops moving

Pick a real project and a real week. Look at what was outstanding, what was late, and what never got assigned. That list is usually the honest starting point, and it is usually shorter than people expect.

Your first conversation with David is free. You receive an audit of your website's SEO, AEO and GEO, a preview of how a redesign could look, and a demo of what we could build for your business. Bring your website and the logs from one project. We will discuss where visitors get stuck, how inquiries reach you and which coordination task would benefit from an AI worker. You keep the audit report and redesign preview whether or not you book a workshop. No strings attached.

What we build with you

A website people can find and understand

Use the audit to improve your technical SEO, service pages, mobile experience and contact path — the pages a GC or specialty subcontractor actually searches: service area, trade, project type. AEO and GEO work makes your business information clearer and easier for answer engines to access and interpret. We redesign the agreed pages with you and show you how to update them, so the next improvement does not have to become another development project.

A voice agent for your phone inquiries

Set up an xAI voice agent around your business information, common questions and the details you need from callers — project type, location, trade, timeline. Work through the call flow together and test what happens when the agent needs a person. We agree on any booking, quotation, transfer or connected-tool action before including it. Your business decides what can be handled automatically and what needs your confirmation.

An AI-worker organization with clear responsibilities

Give workers useful jobs and clear reporting lines. Workers get names, instructions, context and a handoff, so the work reads as a team rather than a queue of prompts. A starting configuration for a general or specialty contractor could run like this.

  • A project controls worker takes the supplied RFI log, submittal register and authorized correspondence, and returns an item list where every entry keeps its source reference and recorded date.
  • A field coordination worker takes supplied meeting notes, drawing references and trade updates, and returns a revision-conflict list: where two documents disagree, what each one says, and which question needs answering.
  • A commercial preparation worker takes approved correspondence and your team's review checklist, and returns a packet of unresolved commercial questions for management, each with the evidence attached.

We also create workers to help maintain SEO, AEO and GEO: review pages, identify gaps, suggest updates and prepare changes for your review. We design the roles, instructions, context and handoffs using Zati, Muse or GrokBot where the selected platform suits your work.

The skills to keep it working

You do the work alongside David. Practice changing information, reviewing a worker's output, spotting a mistake and making the next improvement yourself. We finish with you operating the agreed setup and explaining how to maintain it. You keep your accounts, the operating guidance and a practical routine for checking and improving the work.

A workflow we could scope together

This is a prospective example, not a claim about an existing engagement. For a first workflow, a contractor might supply an RFI log, a submittal register and authorized correspondence, and a worker could return an overdue-action brief: each item with its source reference, recorded date, stated question and what needs a response. Your project manager reviews it, opens the assignment, sees the inputs, the produced artifact and the open questions, and decides what moves next.

The distinction matters more in construction than in most fields. A brief that says an item was overdue is a reading of a recorded date. A brief that says a notice period was missed is a contractual conclusion, and it needs a qualified professional who knows the contract and the project history. We configure the assignment to produce the first, and keep the second with your people.

Choose the workshop depth that fits

Practice asking workers for tasks, reviewing their work and improving instructions through conversation.

The free call helps us agree on a useful finish line and the right package. Each package has a written scope and quote; longer workshops give us room to connect more of the business and practice more deeply.

  • 2 hours — focus on one agreed improvement or one worker, with hands-on practice and clear next steps.
  • 4 hours — work through a focused workflow and its maintenance routine, with time to test and repeat the changes yourself.
  • 8 hours — develop a broader setup across the agreed website, voice or worker tasks, with more practice on how the pieces fit.
  • 16 hours — connect several agreed parts of the business and build confidence operating, checking and improving the setup.
  • 32 hours — take on a deeper, multi-workflow programme with time for implementation, repeated practice and a more extensive operating playbook.

Hosting is your choice: if you want free website hosting, we help set it up and show you how to manage it, or you can keep a suitable existing host. Domain renewals, phone and AI usage, and any paid software remain separate, and we identify those costs before the workshop.

Questions before you begin

What if our logs are messy? That is normal, and it is part of what the call covers. We look at the exports you actually produce and agree what a usable source reference looks like before anything is configured.

Who decides if an item is truly overdue? Your project manager and qualified professionals. Workers prepare the item, cite the source and flag the uncertainty; the contractual call stays with your team.

Can you guarantee rankings or AI citations? No. We improve the agreed pages and create a maintenance process; search and answer engines determine their own results.

What if our PMs are set in their ways? We build around the tools and routines your team already uses. The goal is a setup your PMs understand and can keep improving, rather than a system that leaves every change dependent on us.

Bring one stalled handoff
